A quote is easier to approve when the customer can understand the work, see what is included and know what happens next. Presentation should reduce uncertainty rather than add sales language.

Reflect the customer’s actual job

Use the property, problem and outcome discussed during the survey. Generic scope wording makes a careful estimate feel less considered.

Organise the work in the order the customer can recognise: preparation, main work, testing and completion.

Make boundaries clear

State assumptions and exclusions near the relevant scope. Customers are more comfortable when they can see where the price may change.

If options are offered, explain the practical difference instead of presenting a confusing menu of line items.

Give one clear next action

Say how to accept, how long the price remains valid and what happens after approval.

Follow up when promised and refer to the customer’s decision, not simply whether they have seen the quote.
