Builder’s Guide to VAT: When to Register and How to Manage It

VAT affects pricing, invoices, supplier records and cash flow. The key is to understand when it applies, show it consistently and avoid treating collected tax as available working capital.

Watch the relevant turnover test

Monitor taxable turnover on the basis required by current HMRC rules rather than waiting for year-end accounts.

Registration thresholds and schemes can change. Confirm the current position with HMRC or a qualified adviser before acting.

Quote and invoice consistently

Make it clear whether displayed prices include or exclude VAT and apply the correct treatment to the supply.

Keep invoice numbering, customer details, dates and tax information complete so the sales record can be reviewed.

Protect the cash

Separate the VAT element in cash-flow planning. Money collected for a future return should not quietly fund unrelated spending.

Keep valid supplier evidence and review exceptions before the reporting deadline.
